Email

The Email feature allows you to export a visualization and send it by email in a selected format. Before generating your visualization, make sure the appropriate page setup has been configured to ensure the optimal display in the exported file. It is for one-time use—none of the content is saved after the email is sent.

This feature is available for Views, Dashboards, and Reports.

When to use Email

  • Sending reports to external recipients: Use when managers, executives, or clients (partners, vendors, or customers) need access to a visualization without direct access to the Web Server.
  • Collaborating with team members: Share visualizations with colleagues to discuss data insights.
  • Saving reports for record-keeping: Keep a copy of the visualization in your email for future reference.
  • Providing quick updates: Send the latest version of a visualization without requiring recipients to generate it themselves.

Send a visualization by email

  1. Locate the worksheet, chart, dashboard, or report you want to send by email.
  2. Double-click it or select Open from the context menu.
  3. Click the Sharing icon in the Toolbar panel on the right. It expands to show the submenu options.
  4. Select Email from the menu.
  5. In the dialog, select the format to generate the visualization.
  6. Enter the email addresses of the recipients.
  7. Enter a subject line for the email.
  8. Add a message in the body to give additional details about the attached visualization.
  9. Click Confirm to send the email.
